"If one person is remote, everyone is remote." We never have meetings where some people are in a conference room and others are remote. The power dynamics on this are terrible, and the people who are remote are not on a level playing field. If one person is remote, everyone gets on Zoom, even if they're in the same location.

At the end of virtual meetings, the meeting manager will usually open the floor for questions. Those physically in the room may raise their hand or just blurt out their question, and those on video conference are left wondering when they should ask their question. This is often a symptom of most companies who have a few remote workers while the rest of the team is collocated in a physical location. At Coda, I am able to log my questions and concerns in a Coda meetings document, and they can organically get voted up or down as the meeting progresses. It's a win-win because my questions gets asked, and there's no awkward "raised hand" in Zoom.

When doing group Zoom or video conference meetings we often have some people in a room and some people remote. I always have everyone that’s in a room use their laptop for video and we use one laptop for audio. I don’t like the one camera for the whole room. Every face should be on its own camera.
Always use your video cam, even if you don't like our hairdo. (This is a rule I have with my team, not if we are working with customers) I think everything goes better when people can see each other's faces.

Make sure all meetings have a clear agenda and ownership is clearly identified before and at the conclusion on each meeting. There is no drive by hallway talk when working remotely, so optimizing communication is a must.

Embrace being on video. It's okay if your hair is not perfect or you have a messy office. Chatting with video on goes a long way in helping with establishing relationships.

Asynchronous pre-meeting reviews. Everyone reads the meeting agenda, notes, collateral, etc. Every teammate gets to leave in-line comments and get replies. Reduces the amount of actual Zoom time drastically.
